The Assistant Manager provides administrative and operational support to the area manager.  The primary purpose of this role is to ensure accuracy and precision, and ensure that all data-entry is correct. 

This position is responsible but not limited to the following:

  • Double-check and ensure that all data entry in Oscar, the company’s operations and billing database, is correct
  • Communicate accurate information to the Quality Control Representative to process all necessary work orders in preparation for the client’s arrival
  • Process any add-on charges, delete any cancellations and ensure all client billing is accurate
  • Serve as the primary point of contact for all inquiries and follow-up from the accounting department
  • Process clients’ lease extension requests and submit notice to vacate to the apartment community
  • Maintain accurate and organization of the filing system including the maintenance of client and community information
  • Process clients’ lease extension requests and submit notice to vacate to the apartment community
  • Assist the area manager in developing processes for improved efficiency
  • Generates scheduled reports by the designated deadline and any other reporting needs, upon the request of the area manager.
  • Respond to customer service issues with a sense of urgency, follow up with each issue, and prevent similar situations from arising to maintain the highest level of customer satisfaction
  • Answer and respond to emails and phone calls with a friendly and positive attitude, using proper communication etiquette, and following the CWS Communication Protocol guidelines, as appropriate
  • Serve as a back-up for any other member within the area market
  • Other duties as assigned.

Job Requirements:

  • High School degree or GED
  • Computer proficiency, particularly in Microsoft Office Suite applications such as Outlook, Word, Excel, PowerPoint and smart phone technology.
  • Owns a valid and unexpired driver’s license that meets company driving standards and maintain current automobile insurance and registration
  • Property management or corporate housing experience; minimum of 1 year of customer service experience
